This Privacy Policy explains what information ClinSearch S.A. and its related entities (collectively, "ClinSearch", "us", "we" or "our") collect from you, through our interactions with you and through our Electronic Data Capture (hereinafter "EDC") System named EDClin® (hereinafter "EDClin") and how we use, disclose and protect that information.
It also explains our use of your personal information and how you can access and update this information.

ClinSearch collects information to operate effectively in the purpose of the study. Personal information is collected directly from you and other information is collected when you interact with our websites, products and services.

Personal information you provide us may include information such as your name, healthcare professional ID numbers, email address, telephone numbers, professional profile/CV and payment details.

You can always choose not to provide personal information to ClinSearch, but if you choose not to do so, in many cases your participation to the study will become impossible.
ClinSearch may combine personal information with other information that does not, on its own, directly identify you ("non-personal information"). For example non-personal information such as which parts of your EDClin accesses. This allows ClinSearch to check who enters or modifies data and to monitor the security of the information system of the study. If we do combine non-personal information with personal information the combined information will be treated as personal information for as long as it remains combined.
We collect information when you use our websites. We may collect information sent by your browser to our servers whenever you visit an EDClin website. For example your browser may tell us your IP Address as well as browser type and language, URLs of referring/exit pages, operating system, time/date stamp, system configuration information and documents and files that you downloaded. We also may collect information about how you use our websites, such as which parts of our website you have visited, by using cookies and similar technologies.
Emails we send you may include a technology that tells ClinSearch whether you have received or opened an email, or clicked a link in the email.

When you use the Services, we share your information only with the sponsor of the study which is the unique responsible of the treatment of the information and we may share your information with third parties, duly authorized by the sponsor, involved in providing additional services in the framework of the study such as, for example, core labs, and with the Competent Authorities, upon their request, in accordance with the appropriate laws and regulations.
ClinSearch works with service providers and business partners that support our Services. We may work with these companies to provide services including documents printing and shipping, server rental and maintenance, network administration. These companies may have access to or process your information for the purpose of providing those services for us. They are not permitted to use your information for their own purposes.
It may be necessary - by law, legal process, litigation, and/or request from public and governmental authorities within or outside your country of residence for ClinSearch to disclose your personal information.

ClinSearch is committed to protecting the security of your personal information. We store the personal information you provide on computer systems that have limited access and are in controlled facilities. For example, ClinSearch websites are hosted with Amazon Web Services, which has data centers located throughout the world. This means your information may be transferred across national borders.
While no service is completely secure, ClinSearch takes reasonable measures to help protect information about you from loss, misuse, unauthorized access and alteration. For example, we ensure that our third-party data center vendors provide adequate security measures. In addition, your data is protected with encryption, such as Transport Layer Security (TLS) during transition over the Internet.
We retain personal information we collect from you during the whole period of archiving, legally foreseen in the study protocol and the regulatory dossier of the study (in connection with the purposes set out as above).
We may transfer your personal information across national borders to other countries in compliance with applicable laws. If you are from the European Union or other regions with laws governing data collection and use, you hereby consent to the transfer of your personal information to outside of the European Union (or from your country, as applicable), including to the United States. By providing your personal information, you consent to any transfer and processing in accordance with this Privacy Policy. We will only transfer your personal information, which serve the purpose of the study in which you are involved to the sponsor, or a third-party duly authorized by the sponsor.
It is your responsibility to ensure that the personal information you provide to us is accurate, complete and up-to-date. According to the European regulation (GDPR) and the French Law (Act N°78-17 of 6 January 1978, amendments and application decree, on information technology, data files and civil liberties) you may access, erase or correct personal information we hold about you by logging into your EDClin account at any time or by making a request to us in writing (mail with acknowledgement of receipt or email),at the addresses below, by providing a proof of your identity.
We will process your request, as soon as reasonably practicable, without exceeded, 30 calendar days.
